installed and dial plans are configured with the unified messaging mailbox policies, the feature is enabled by default. Additionally, the option becomes available if UM mailbox policies are upgraded from a previous version of Exchange to Exchange 2010. The feature can be disabled by viewing the properties of the UM mailbox policy. Any further customization is very limited. The process of transcribing speech to text is very resource-intensive on the server. Some of our initial discussions at Winston & Strawn incorporated the question of how we were going to provide what we had deemed as one of the selling points of the upgrade and also provide a stable environment for our customers. With that in mind, we decided to limit the feature to attorneys, managers and a select few Information Services (IS) Department personnel who could benefit from it while performing on-call duties. Secretaries and other staff were not provided this feature by default. To accomplish this we created an additional UM mailbox policy for each of our dial plans. The original UM mailbox policy, to which everyone was currently assigned, had Voice Mail Preview disabled. The second UM mailbox policy had the feature enabled. Once we migrated a set of individuals to the new Exchange 2010 infrastructure, we created a PowerShell script to reassign the appropriate users to the new UM mailbox policy with the Voice Mail Preview feature enabled. We found this to be the easiest way to manage existing and future customers. Transcription Options Customers are limited to the following two transcription options via Outlook Web Access (OWA) only. (These options can also be accessed in Outlook 2010 by selecting File > Manage Voice Mail. This links to the OWA website.) • Include preview text with voice messages received: An attempt is made to transcribe any voicemail received by the individual. The transcription is then delivered within the email message containing the audio voice message. ILTA White Paper 15
