but the question is how. A massive rip-and-replace project would be too disruptive and costly to be effective. Rationalizing the architecture, integrating the systems into a single, base platform and migrating to it as applications naturally age out would be no more effective. The existence of disparate systems in the enterprise came about as each repository was introduced and optimized to meet requirements. Therefore, it's not realistic to expect a single, one- size-fits-all system to meet the full diversity of requirements in the organization, either today or in the indefinite future. Instead of trying to move all enterprise content into a single repository, you must be able to facilitate unified access and governance across multiple repositories. This includes the ability to "manage in place" — for example, to apply retention policies or legal holds on content wherever it resides through a single point of management and control. An ECM without borders approach allows your organization to: • Leave enterprise content where it is, eliminating the need for a costly and disruptive migration, while vastly simplifying access and control. • Enable users to conduct unified search across hundreds of repositories to find the content they need quickly and accurately, putting the full value of your enterprise information at their fingertips. • Apply policies company-wide, rather than system- by-system, for more efficient and consistent information management. In the very near future, IG will be achieved with the ability to break down information silos and ensure consistent policies across all enterprise repositories, without the time-consuming and error-prone task of manually working system by system. IG will be a cornerstone of greater strategic insight across the organization. ECM'S ROLE IN PROVIDING ANYTIME, ANYWHERE ACCESS To achieve full mobile productivity, users must be able to access information from any device, including consumer and BYOD devices. Users also expect to be provided with greater functionality from their mobile devices, including the ability to interact with the enterprise applications involved in completing work. Modern ECM technologies are now available to address these needs with: • Interfaces optimized for whatever device is being used, including desktops, laptops, tablets, smartphones or multifunction printers. This optimization is accomplished with responsive design and HTML5-based interfaces that fit the real estate and form factor of the user's device. • Pan-enterprise search that can be accessed via a secure Web browser to allow users to find and use enterprise content on any available device. • Hybrid cloud file-share and sync capabilities that ensure mobile and remote users can access complete, up-to-date content from on-premise enterprise repositories. • Multifunction printer access to content that helps streamline printing, scanning and fax workflows. This ability to provide continuous global access is a key objective in many IG strategies today, as it helps organizations dramatically increase productivity. LEVERAGING THE CLOUD The cloud offers powerful potential benefits, such as eliminating the high maintenance costs of traditional deployments and simplifying collaboration with internal and external parties. A modern ECM offering allows organizations to take better advantage of the cloud by: • Applying hygiene to legacy data prior to moving data to the cloud — expediting the migration process and achieving significant cost efficiencies. • Integrating an on-premise document and email management system with a cloud file-sharing and collaboration service, for better collaboration and information access.
