If you can clearly articulate your current processes and the personnel involved, most vendors can help you determine your return on investment — an important factor that can help you sell a solution internally. Create a security policy around messaging. Categorize your data, and define rules around sending or sharing information with both internal and external people. Educate your users. Discuss the liability of a data breach, which may result in monetary fines, malpractice suits and a serious impact to your company’s reputation. The Internet has quite a bit of longevity, and people can pull up past transgressions with ease these days. Teach best practices such as when to apply additional security measures, and demonstrate the tools available to users. Implement support for mobile devices. With more smartphones infiltrating the corporate world, it’s important to be able to support these devices. Many attorneys love taking their work with them, whether they’re waiting in line at the airport, sitting at home on the couch, riding a ski lift…you name it! The key is to minimize (as much as you can) the ways in which users will need to change their behaviors or work processes. Exchange 2010 has many benefits, but you still need to be proactive in looking at solutions for people who need to share large files or confidential information with others. Education is a good start; make sure everyone is aware of the consequences of their actions, and of the tools and solutions you have in place to help them.
