DICTATION FOR THE MOBILE ATTORNEY DICTATION FROM THE DESK The firm evaluated several options and determined that BigHand provided the best solution in terms of functionality, product offerings, supported devices and local vendors to assist during our project. During the evaluation process, the firm performed a pilot with an initial goal to replace the existing tape dictation devices with electronic ones. The firm also evaluated workflow to determine best practices for distributing workload among a group of staff to make work more efficient and to reduce turnaround times for the completion of transcriptions. SEE USERS EXPLAIN THE IMPACT BIGHAND'S VOICE PRODUCTIVITY TECHNOLOGY HAS HAD ON THEIR FIRMS. During phase one of the project, we deployed BigHand Digital Dictation to the desktop and created workflow on the backend to route completed dictations to staff. Turnaround time from dictation to transcription was significantly reduced, and it is now an average of one day. This was very well received by the attorneys, and the process of tracking dictations to completion was much easier on staff. Attorneys also now had the ability to prioritize their dictations and put a high-priority status on important dictations. This was something that could not be done with the old process due to the inability to filter through an entire tape to locate a priority dictation. DICTATION ON THE ROAD The next phase of our project was to attack solutions for the mobile attorney. We had to answer the question: How could our attorneys dictate to the system both remotely and immediately? We chose to investigate optional solutions provided by BigHand, including Citrix and Telephony. We deployed the telephony option first, as this was an easy implementation with an immediate impact. Using this option, the attorney had the ability to dial in to an 800 number, enter their credentials and dictate to the system directly. The file was then saved electronically and routed through the proper workflow to be transcribed. While now, in 2013, this seems like old technology, it worked for our environment and avoided dictations to the voicemail system. We also deployed BigHand for Citrix to the environment, which provided the same interface as their desktop with the added ability to work remotely. This has been very successful and will continue to be used in our environment. We also evaluated the BigHand for BlackBerry option and deployed this to a limited number of attorneys.
