25 I L T A N E T . O R G Document and workflow automation Using document workf low and automation software, a small Northwestern firm converted its existing document types into automated forms. The computerized forms utilize client data already stored in a legal practice management system to complete documents consistently, reducing the risk of error and saving considerable time. The Northwestern firm used legal workflow automation software built into its LPM to intake clients, perform conflict checks and automatically apply client information to necessary tasks, such as completing court forms, contracts, memoranda, letters and email. Everyone at the firm had access to information whether they worked on premises or off. LPM software automatically sends notifications and reminders, schedules appointments and calculates deadlines via rule-based calendars. The firm automated activity based on case type, facts and events to track and complete tasks and include billing in timely increments. Built-in security SaaS comes with built-in security that evolves to meet current threats and surpasses the resources of most on- premises software. The security features do not impact performance. The cloud software remains accessible and feature-rich yet is built to meet or exceed security best practices. Cloud technology vendors know law firm data privacy concerns and take measures to reduce risks, such as preventing unauthorized access to client data. Cloud vendors also offer high levels of encryption, data redundancy and automatic backups. The platforms satisfy various information security standards, and third parties perform security audits to test and verify the protocols. Cultivate Innovation With feature-rich and innovative software, firms can explore and cultivate innovations. Integrated accounting systems provide visibility and transparency for the firms to analyze profitable statements of work in pipelines, project cash flows and identify strong and weak practice areas and case types. In the cloud, standard operating procedures are available to partners, associates, staff and decision- makers to use and improve in new ways, such as offering alternative fee arrangements from automated e-billing and payments software. The firms in this story have come out of the pandemic resilient to adversity, standing on solid financial ground and ready to compete with feature-rich cloud-based resources. These resources also enabled stewards of change to cultivate innovation, attract and retain talent and propel their firms into a bright future.
