Maximizing Results Through Legal and IT Collaboration The IT function has become an integral part of the legal workplace. As the complexities of electronic data, cloud computing, mobile devices and other technologies expand, collaboration between legal and IT professionals has become a business imperative. More Essential Than Ever In a survey commissioned by Robert Half Legal of 175 U.S. and Canadian lawyers from large companies, eight in 10 respondents said their collaboration with IT specialists has increased during the past two years. When you consider complex legal maers such as ediscovery engagements, data storage, IT forensics and data breach protection, it is clear that collaboration between legal and IT teams is vital. John Reed, senior executive director at Robert Half Technology, notes: "IT professionals increasingly are found at the table with legal professionals as strategic plans are developed, as case approaches are built and as advanced technologies are introduced. IT professionals offer legal staff expertise on analyzing risks, testing new technologies, evaluating potential return on investment and providing strategic guidance on tech-powered procedures that yield operating efficiencies and comprehensive and trustworthy results." Collaboration Results in Innovation Enhanced client service is a natural consequence of the growing partnership between legal and IT teams. By bringing together professionals with different bases of expertise, a collaborative approach has the potential to yield more innovative solutions customized to client requirements. Together, the teams can work more efficiently and effectively across knowledge gaps to successfully manage complex and challenging work demands. I recall a large-scale ediscovery initiative where over 16 million documents had to be obtained, organized and culled to responsive material within 10 days. The project team of managers, lawyers and paralegals skilled in ediscovery was assisted by IT specialists who used their knowledge and experience to help extract information from the enormous amount of data involved. The group completed the assignment three days early and under budget by collaborating. Tips for Successful Partnerships Effective collaboration between groups with different training, knowledge and skills requires that each group gain insight into the other's areas of expertise. John adds that "Trust, respect for the knowledge EXTRAS Maximizing Results Through Legal and IT Collaboration and competence of colleagues, and communication are essential factors to leveraging the opportunities and value in legal and IT relationships." Here are tips to help maximize the success of legal and IT partnerships: » Establish common ground at the start of a project. Initial meetings between legal and IT teams should outline the collective team's objectives, shared goals and required outcomes. Everyone needs to share their different perspectives to create an integrated and comprehensive solution to the maer at hand. » Identify strategies that will yield desired results or solutions. » Define key roles and assignments for each team member, including responsibilities, deliverables and associated deadlines. Discuss logistics, workflows and guidelines for exchanging information, making decisions and resolving conflicts. » Build trust and promote open communication. Team members should follow established collaboration practices, including brainstorming, identifying capabilities, sharing knowledge and building consensus. Legal and IT teams will become even more tightly linked in the years ahead due to the inherent risks and impact of complex legal initiatives and ever-increasing volumes of data. Partnership between the two teams is essential if legal organizations want to fully leverage the benefits of technology and open the door to strategic advantage in today's business environment.
