Making BYOD Work for Legal • Track Phone Calls: Record incoming and outgoing phone calls automatically in matter files, including date/time, duration, parties and user notes. • Access Matter Files: View assigned firm members, send email messages to contacts, make notes, create tasks, set appointments and add time entries. • Access Email Messages: Send an email message directly from client files with the message archived back into the client file. Secure File Transfer and File-Sharing Consumer-based file-sharing services such as Dropbox have been widely adopted by attorneys and legal administrative staff as a convenient way to download and synchronize documents and files with mobile devices. However, with this convenience comes increased risk of client data breaches. Many of the consumer-based services do not provide ample security to protect data in transit. Once downloaded to a mobile app, the data may not receive sufficient authentication and encryption. Of particular concern is the lack of IT oversight and control. Often the attorney will register with a file- sharing service as a private user, effectively eliminating IT visibility to sensitive client data stored on remote cloud-based servers. The data typically sit on these remote servers for extended periods of time, increasing the risk of unauthorized access. In addition, when an attorney leaves a firm, the data often go with him/her. Over the last several years, the legal profession has increasingly embraced secure file transfer (SFT) technology to manage and secure the exchange of confidential documents and data with clients and outside counsel. These vendors are extending SFT technology to deliver a secure method of downloading and accessing confidential data on mobile devices. SFT typically approaches document exchange in the following ways: • Ad hoc File Transfer: SFT systems are deployed locally or via the cloud and are designed to support the on-demand secure transfer of large files and documents to external recipients. They offer an intuitive, self-service Web interface that allows nontechnical users to initiate transfers. They also provide robust verification of receipt, tracking of delivery status, recipient auto registration and enforcement of strong authentication.
