incorporate policy information in the pre-approval training program without including it in the IT e-learning tutorial or quick reference materials. The solution, aptly enough, was engineered by one of our knowledge managers. She created several queries: one to pull the various policies from their respective department pages on the intranet, a second to collect all of the quick reference cards relating to expense reimbursement and a third to access the pre-approval e-learning lesson. Finally, for good measure, we added a summary of frequently used account codes. The end product was an “Expense Reimbursement Resource Page” that contained links to all things expense-related. SPREADING THE WORD We now had a dynamic training tool for the rollout. Every announcement relating to the new pre-approval forms included a link to the Expense Reimbursement Resource Page, whether it was from accounting, IT or the local office administration. Callers to the IT helpdesk were guided to the resource page for answers. But what really “put us in the money” was embedding an “Expense Policies & User Guides” link directly in the expense reimbursement program. With one click, users could access every piece of information they needed — policies, procedures, quick reference cards and tutorials — at precisely the moment they needed it. CELEBRATING THE RESULTS Usage statistics showed a high volume of hits immediately before and after the rollout of the electronic pre-approval form. Even better, we continue to see utilization of the tutorial and documentation on the Expense Reimbursement Resource Page. Less time is lost foraging for expense- related information on the intranet; as material is added or updated, it is instantly accessible via the link on the expense program’s “Welcome” screen.
