Use it for: Face-to-face interactions make sense when context matters. Use them to build connections and trust, as well as for sensitive conversations. They are also helpful for coordinating complex, time-sensitive projects, like a go-live, or when decisions must be made quickly and collectively. VIDEO MEETINGS Benefits: Video tools like Zoom or Teams come close to recreating the benefits of in-person communication these days. They allow for a similar rich experience without the need for geographic proximity and integrate assistive technology like live captioning. Drawbacks: High-quality video conferencing requires a reliable high-speed internet connection and hardware that can keep up. There is also a learning curve associated with using the systems correctly, and as with in-person communication, scale can become a challenge. It can be draining for individuals to spend a full working day in front of the camera. Use it for: Video conferencing is great for building relationships and handling sensitive topics when in- person connection isn't practical or convenient. AUDIO/VOICE-ONLY Benefits: You do not always need video to have an effective conversation. Voice calls enable a rapid back- and-forth exchange between participants. This can be a scheduled meeting or picking up the phone to call. Drawbacks: Non-verbal signals are lost, and busy schedules can lead to phone tag. Use it for: Voice-only calls are ideal when information needs to be exchanged quickly, or it is clear that written messages are leading to confusion. They are also suitable for sensitive or confidential topics. EMAIL Benefits: There is no need to have everyone connect at the same time, let alone in the same place — with email, it is easy to communicate with groups of people. In combination with attachments and hyperlinks, they can conveniently package large amounts of information into a single place that can be referenced at any time. Video conferencing is great for building relationships and handling sensitive topics when in-person connection isn't practical or convenient.
