The ideal data loss prevention solution checks all outgoing emails to confirm that the content of the email and/or its attachments aligns with the security policies associated with the related matter or client, and with the status of the recipient. If the email meets internal security policies, it can be sent without delay. If it doesn't, an immediate alert should go to the user, so incorrect or unauthorized recipients can be removed. AI is most effective when combined with human intelligence Data loss prevention in email is most effective when there is technolo in place that a) protects against multiple risks, and b) works hand-in-hand with human intelligence. It is one thing to use AI to stop misaddressed emails. But, in order to prevent the entire spectrum of human error, your technolo should alert users when it finds instances of improper redaction, such as a black box over text, or white text on a white background; it should remove sensitive metadata from attachments, and it should enforce internal security policies to stop breaches by inside actors. A new approach to human error prevention So, what can you do today to ensure your firm is protected? A new approach to human error prevention is needed, one that has many moving parts. Firms are better protected when they have email recipient checking, redaction checking, metadata cleaning, security policy enforcement, and AI smarts working together seamlessly. And it's even more effective when it protects mobile users, too, as more and more work happens outside the office. The challenge for firms, internally, will be to balance security concerns with the need for people to work fast. As a rule, it is best to always look for solutions that minimize the number of pop-ups the user sees, as too many make the task of sending an email a frustrating and drawn-out process. Just as important as having the technolo to prevent human error is ensuring that staff know how to use it. Training at the start, and then whenever new features are added, is vital. Otherwise, you won't get nearly as much value from it. People are often thought of as the weakest link in a data protection chain. Help them be the strongest by giving them the tools they need to work quickly and securely. Technology, including AI, is becoming smarter and smarter each day, but for now, it still needs a human touch.
