This critical activity minimizes the likelihood that individuals will revert to old habits and past practices that are not beneficial to the new technolo. The challenge is to apply emphasis on the importance of reinforcement to sustain best practices and the effective use of a system. This is especially challenging considering a Project Manager closes the book once a project is complete and moves on to the next project. Many of us can relate to using the rewards and recognition mechanism to reinforce change because we have found it effective; however, we should consider other tactics in our efforts. In a DMS project scenario, it's not uncommon for lawyers to go around the system by saving files to a hard drive or folder in a shared drive. Consider implementing accountability measures into the equation; for example, disabling files shares and minimizing space available for paper files. In addition, monthly town halls with the records management team can provide valuable opportunities for lawyers to learn from one another and recognize best practices. We should consider the reinforcement of the change as important as the need to build awareness. In conclusion, we should all strive to become change practitioners, even those of us that are challenged by change. We should be creative but follow a model that continually manages the change process throughout a project, with a focus on decisions and actions that encourage sponsor engagement and build a path to lead individuals on their journey of adoption. Define success, communicate what that looks like with clarity on how individuals are prepared and can demonstrate their ability to embrace the change.
