56 WWW.ILTANET.ORG | ILTA WHITE PAPER KNOWLEDGE MANAGEMENT for each office and making a contribution to the charity of the winning office's choice. Workstream 3: Standard Form Documents, Model Clauses, Playbooks and Toolkits You might want to prioritize draing documents that can be used off the shelf, such as standard form documents, model clauses, playbooks and toolkits (collectively "SFDs"). » Advanced: The program is likely to have a comprehensive set of SFDs, many of which are likely automated. » Intermediate: The program may have SFDs in place across key business areas, some of which are automated. » Basic: The program is likely to have just a few SFDs in place or a plan underway to dra some. To build your SFD collection: » Prioritize documents based on a return on investment analysis of the SFDs you have or plan to dra, focusing on factors such as the document's level of usage, value and risk to the business. » Balance the need to meet local law requirements against the objective of minimizing variations in your forms; for example, perhaps you could include different local law requirements in endnotes instead of draing separate forms. » Basic: The program may see knowledge shared within individual teams only. To advance your organization's KM culture and sharing: » Shi the sharing culture currently in place from a "vicious cycle" where people take but do not contribute and the value of the content is therefore limited to a "virtuous cycle" where the value of the content increases exponentially as everyone recognizes the value of contributing. » Communicate the "virtuous cycle" message via an internal marketing and communications plan: » Instill a positive tone by having key stakeholders communicate the sharing message and recruit some senior leaders as "Knowledge Champions" to help promote the sharing agenda. » Anticipate the objections and concerns that will likely be raised and address them upfront. » Reinforce the culture you are creating by tracking contributions and recognizing them in evaluations, salary reviews and awards. Consider appealing to people's quantitative nature with bonuses and KM hours requirements. Meet people's desire to be recognized by using communications that put contributors' names in bold and awarding prizes at office meetings. Leverage people's competitive nature by creating a sharing sports league Avoid the Long and Winding Road: Develop a KM Roadmap You might want to prioritize drafting documents that can be used off the shelf, such as standard form documents, model clauses, playbooks and toolkits.
