6 PEER TO PEER: THE QUARTERLY MAGAZINE OF ILTA | WINTER 2017 BEST PRACTICES Knowledge Management Made Easier with Office 365's OneNote Knowledge Management Made Easier with Office 365's OneNote Though you can create a notebook within OneNote, I prefer to create a new OneNote notebook using Office 365 Planner at the start of each new project plan. (Both Planner and OneNote are among the dozen or so secondary applications included with Office 365's Enterprise E3 and E5 licenses.) This automatically makes the notebook accessible to the same team selected in the Planner plan. Project team members can not only access but also add to the notebook. A OneNote notebook can be divided into sections and each section further divided into pages. Common notebook sections we create for project management purposes include risk register, meeting notes and knowledge management. Microsoft Office 365's OneNote feature is a great tool for collecting, sharing and archiving information related to projects. This tool makes knowledge management efforts easier. Risk Register The risk register is a work-in-progress identifying potential hazards, unanswered questions and concerns that threaten the project. While it is necessary to think through what can go wrong, it is just as important to recognize the benefits discovered during a project. For example, during the creation of an IT system notification tool we realized it also could serve as the basis for a wider range of notifications. That newly identified benefit was added to the risk register. A column on the risk register references the meeting or other origin of the risk identification, which can be helpful if more information or context is required. Pages might include more detail on
