As the technology intended to capture all documents and email messages associated with a matter, the electronic matter file fuels a number of crucial business processes. Firms need to get it right. In addition to acting as a repository to facilitate effective reuse of work product, an effective electronic matter solution enables drafting of documents and the storage of records (such as finished documents or third-party content). An electronic matter file solution balances the firm's need to mitigate risk with the professional's need to work more effectively by allowing lawyers to manage the security and structure of the matter file without IT support. Organizations need security awareness policies, training and personal accountability. A firm's data are not only its intellectual property, they are its greatest liability. Policies to protect data within and without the firm are vital. Awareness of those policies and the potential threats to the firm if they are not followed must be communicated to the lawyers AND the staff.
