28 A s with most organizations, effective collaboration between legal teams and other departments can be difficult to establish, but providing the ability to securely work together in a centralized system, where searching and accessing all related documents is quick and easy, adds significant value. As Executive Director, Secure Document Management Services, at Fox Entertainment Group (Fox), Michael Burch was looking to improve workflow and efficiency by restructuring how Fox's legal department was housing and organizing all of their legal documents and business collateral. As part of this process, Burch implemented an innovative collaboration solution in order to streamline the deal approval process between Fox's Television Distribution division (TVD) and legal teams. The groups needed a centralized, cloud-based system that would provide detailed visibility into the sales pipeline and allow them to work together more productively. The TVD group chose Salesforce to manage their customers and accounts but needed a secure way for all to access the related contracts and amendments, now housed in Fox's OpenText eDOCS DM. A secure integration was implemented between Salesforce and eDOCS, enabling the TVD group and the legal teams to not only collaborate but simplify their whole business process. From the Salesforce UI, users can search the eDOCS DM and expose all related contracts and documents for the customer or account they are working on in Salesforce. Because the user has full eDOCS functionality from the Salesforce UI, they can, for example, upload new contracts to eDOCS from their Salesforce screen or edit the documents returned from the search. Bringing the relevant information all together in one system proved to be convenient and sped up processes that normally take much more time. As word of this marriage between systems spread, other departments within Fox began requesting similar integrations between their business critical applications. Challenges Fox Entertainment Group (Fox) is comprised of many corporate divisions and subsidiaries, all with their own unique document management challenges. Fox utilizes an OpenText eDOCS repository (eDOCS) that serves 700 users, houses over 6 million documents within 7 libraries, and supports over 14 application integrations. Salesforce Integration With eDOCS The Fox Television Distribution division (TVD) and legal teams wanted to create a centralized, cloud-based system that would allow for detailed visibility into the sales pipeline, establish collaboration between the sales and legal teams, and streamline the deal approval process. The TVD IT group chose Salesforce as their CRM platform. To fully take advantage of this new system, a key requirement was the ability to access the underlying contracts and amendments for all of the customers and accounts. The legal group that negotiated the TVD agreements housed the working agreements in eDOCS, but the fully executed documents were paper copies.
